How to Get your Media Pack ready
Before sending a release to the media, you must prepare yourself for the
best possible outcome.

This means first making sure that
your company appearance is in order.
If an editor wants you to send a follow up
letter, make sure that you have all the material that you require at
your disposal.
Follow this checklist to ensure that you have everything:
Printed Stationary
- Ensure that you have supplies of printed stationary with the company
letterhead design and prepared cover letter ready to be sent with any
additional materials that are requested.
- Ensure your phone line is
manned during business hours and the e-mail is checked daily.
- Keep the
company brochure and literature updated.
Media Package
Most press releases do not contain all the information that an editor
requires.
Keep you media package up to date for when an inquiry comes
in.
This pack contains detailed information supporting your press
release.
Use this checklist:
1.
Cover Release
This is the original release you sent to the editors. Send it again if
they request more information.
2.
Background Information
To put the story in perspective include information that will help the
editor understand the importance of your release.
3.
Quote Page
Have a separate page devoted to quotes from company representatives and
business partners.
4.
Supporting Documentation
Include any additional material that will
help the editor, such as photographs, published articles or customer
testimonials.
5.
Contact Details
Capture the editors contact details when they phone or e-mail you. Don’t
have to phone them back again. Get their physical address when you speak
to them. This will help you to deliver any hardcopy material to them,
especially during tight deadlines.
