Creating Different Page Numbering Formats in Word

Large documents often require several page number formats in the same document. For example, the index pages may use Roman numerals (e.g., "i.", "ii.", "iii.") and the main document use Arabic numerals (for example, "1", "2", "3").

In this article, we describe how to setup different page numbering formats.

Setting up Page Numbers

To format page numbering for different sections in a Word document, follow these steps:

1. Click on the page where you want to start the numbering differently.

2. On the Insert menu, click Break.

3. Click Next Page, Even Page, or Odd Page, and then click OK.

4. Click in the first section.

5. On the View menu, click Header and Footer.

6. Click in the header/footer where you want to put the page number.

7. On the Header and Footer toolbar, click Insert Page Number > Format Page Number.

8. In the Number format box, click the format that you want for the numbers in this section.

9. Do one of the following:

If you want the page numbering in this section to start at a specific number, i.e. other than the first number in the format series, click Start at under Page numbering, and then enter the first number that you want to appear on the first page of the section.

If you want the page numbering to continue from the previous section, click Continue from previous section.

10. Click OK.

11. On the Header and Footer toolbar, click Show Next.

12. Repeat steps 9 through 10 for the page numbering in this section.

13. On the Header and Footer toolbar, click Close.

Starting or Restarting Page Numbering

Insert a section break where you want to start page numbering. (On the Insert menu, select Break > Page Break)

To start page numbering with a number other than 1

For example, you can number pages without a break in numbering between multiple documents by numbering the first document 1 through 50 and the second document 51 through 99.

  • Click in the section in which you want to change the starting page number.
  • On the Insert menu, click Page Numbers.
  • Click Format.
  • In the Start at box, enter a number.
  • Click OK.

Starting Page Numbering after 1st page

For example, you may want to omit page numbers for the document's cover page and start page numbering later in the document.

To do this, follow these steps:

  • Click in the section in which you want to start page numbering.
  • Note: Your document must contain two sections for this to work.
  • On the View menu, click Header and Footer.

If you want to position the page numbers in the footer, click Switch Between Header and Footer on the Header and Footer toolbar. If a header/footer has been defined for a previous section in the document, click Link to Previous on the Header and Footer toolbar to disconnect the header or footer in the current section and the previous section.

On the Insert menu, click Page Numbers.

  • Click Format.
  • In the Start at box, enter 1.
  • Click OK.

Include Chapter Numbers

When working with documents that contain multiple chapters, you may want to include the chapter number as part of the page number, for example, 1-1, 1-2, 1-3.

To do this, use the Bullets and Numbering dialog box to format your chapter titles with a built-in heading style

  • On the Format menu, click Bullets and Numbering > Outline Numbered.
  • Click a chapter-numbering style (i.e. one that includes the text "Heading 1," "Heading 2," etc), and then click OK.
  • If you are creating a new heading, type the text for the numbered heading, and press ENTER.
  • To add the next numbered heading, go to the next chapter heading, click the arrow next to the Style box on the Formatting toolbar, and select the heading style you specified above.

If your document is divided into sections, click in a section in which you want to include chapter numbers along with page numbers.

  • On the Insert menu, click Page Numbers.
  • Click Format.
  • Select the Include chapter number check box.
  • In the Chapter starts with style box, click the heading style applied to the chapter titles.
  • In the Use separator box, click the character that you want to separate the chapter number from the page number.
  • Click OK.

Adding the Date to Your Document

  • On the View menu, click Header and Footer.
  • On the Header and Footer toolbar, choose one of the following:
  • To add the date to the header or footer, click Insert Date.
  • To add the time to the header or footer, click Insert Time.
  • Click Close.

Adding Line Numbers to Your Document

  • On the File menu, click Page Setup, and then click the Layout tab.
  • In the Apply to box, click Whole document.
  • Click Line Numbers.
  • Select the Add line numbering check box, and then select the options you want.
  • Click OK and then OK again to exit.
